A departed user is a person who left their position with the university, revoking their access to the system. Occasionally, Delegates may need to take actions in Chrome River on the departed user’s behalf. When the Delegate searches for the departed user to switch to their profile, they may find that the user no longer appears in their search. Users with the Super Delegate role can toggle a feature called the Include Departed search tool in Chrome River. Read on to learn about more scenarios that may require the use of this tool.
If someone travels for business near their last date of employment, lodging and ground transportation ghost card transactions may arrive in their eWallet days or weeks after the trip is completed. If their employment end date occurs before these credit card items appear in their eWallet, the Super Delegate will need to toggle the Include Departed option to locate this user past their employment end date. This will allow the Super Delegate to reconcile any IU prepaid expenses after the former employee’s departure.
Additionally, it is important to note that if a traveler leaves their employment at Indiana University, and reimbursement for trip expenses is needed, additional action is needed to generate this payment. Once the individual is no longer employed, their direct deposit and other personal information is removed from Chrome River. The departed user must be added as a Chrome River Nonemployee Traveler supplier in BUY.IU and be reimbursed using a Nonemployee Travel report type in Chrome River.
Another benefit of this tool is it allows Chrome River Super Delegates to retrieve reports previously submitted by a departed user. This allows quick access to information without having to use reporting tools to run a full report for this information.
