Supplier Data Management (SDM) in a Nutshell

SDM manages BUY.IU supplier registration and profile maintenance for nearly 65,000 active suppliers. Suppliers are responsible for entering and maintaining their profile information, such as tax, address, and payment info, via their supplier portal. SDM provides customer service to the IU community, IU’s supplier base, and ensures supplier data integrity through these actions:

Profile requests

SDM reviews all supplier profile requests. This helps ensure supplier data accuracy, while keeping supplier’s critical and sensitive information safe.

Registration help

When a supplier has difficulty registering, SDM is here to help! The team is available Monday through Friday from 8:00am-4:30pm EST. Both IU staff and suppliers can contact the SDM help desk using the following methods:

Profile Maintenance

Suppliers are ultimately responsible for updating their profiles. SDM helps ensure supplier payment and tax information is up to date and profiles are active. The team routinely deactivates profiles that have gone dormant or have expired tax information.

If you need to use a deactivated supplier profile, review the Reactivate a Supplier page to learn what steps to take. Alternatively, the supplier can contact SDM themselves using one of the contact methods above so they can review, confirm, and update their profile information.

What can’t SDM help with?

Although SDM manages BUY.IU profiles, SDM does not have access to or control over a supplier’s login information. SDM cannot assist with supplier login issues such as forgotten passwords, password recovery, or email updates. In these situations, the team points suppliers to the appropriate Jaggaer customer support contact.

 

What’s the difference between a JID and a p-number?

There are two types of Supplier ID Numbers in BUY.IU:

  • A BUY.IU Supplier ID number, referred to as a p-number
  • A Jaggaer Indirect Supplier ID number, called a JID number for short

When a profile is created it is immediately and automatically assigned a JID. This is a unique, universal identifier for that profile in the Jaggaer system. Check out the Locate a Jaggaer Indirect Supplier ID Number page to learn where you can find this info on a supplier profile.

Once a profile has been registered and approved by the Supplier Data Management (SDM) team, the profile gets an additional number: a p-number. This is specific to Indiana University’s BUY.IU procurement system and denotes that a profile is either active for shopping or has been in the past.

All supplier profiles have a JID, but not all profiles have a p-number.

Both JIDs and p-numbers can be used to search for a profile. When working with SDM, you may be asked to provide a JID or p-number to ensure we are referencing the same profile that you are trying to use.
