Foreign Suppliers with Expired Tax Forms
As part of a yearly clean-up to ensure the BUY.IU supplier database complies with international income tax law, Supplier Data Management (SDM) has deactivated all non-US suppliers with an outdated W8BEN or W8BEN-E form. You will see an internal note on the profile stating if your supplier was deactivated due to this reason, like the one pictured below.
Over the course of the year, SDM sends multiple communications to suppliers with tax forms that are about to expire. An additional communication is sent when their profile is deactivated. After the supplier uploads a new tax form SDM will reactivate their profile.
Update: IU SGSOs Suppliers
SDM now requires that IU Self Governed Student Organizations (SGSOs) have an ACH/direct deposit payment method in the same name as that on the organization's supplier profile. SGSO profiles requesting payment by check or ACH/direct deposit to a personal bank account will be deactivated until acceptable payment info is added.
Additionally, an SGSO supplier classification badge has been added to BUY.IU. SGSO supplier profiles now contain “(SGSO)” in their supplier name and display an IU trident badge. Both details are viewable from the supplier search screen. An example is pictured below.
Supplier Invitation Email Addresses
Inviting an individual to register as a supplier? Be sure to collect a personal email address from them.
SDM now returns new supplier requests if the provided business email is connected to an existing Jaggaer profile. It’s not a strict requirement that individuals register with a personal email, however sending the registration email to a personal email (e.g.. tynichols123@gmail.com), instead of a business one (e.g. tnich@trinityanalytics.com), makes the process much smoother and ensures a quicker turn-around time.
