Follow these tips from Supplier Data Management (SDM) when requesting a supplier for a smooth experience.
Department email template
When you request a supplier using the Check Request (Tax ID Required) supplier request form, Supplier Onboarding Consultants from the SDM team contact them to help with the registration process. Use the department supplier email template to notify suppliers ahead of time that they will be contacted and offered support to complete the registration process.
Collecting Email Addresses
What email address you collect from a supplier depends on if they are registering as an individual or a business.
Individuals
Request the person’s personal email address, not their work or school email. This helps keep their Jaggaer profile correct, even if they get a new job or change schools. It also makes sure they can still log in to their account later.
Businesses
In the case of a business, request an email address using the business’s domain, rather than a personal email. The domain is the text that follows the “@” sign in an email address.
For example, kathyjaneway@supplierbusiness.com vs examplejaneway@gmail.com. Businesses have personnel changes over time. Using an email with a business domain reduces the risk of the business losing access to their Jaggaer profile, and also reduces the risk of fraud or data exposure.
Supplier name
When requesting a new supplier, you must use the supplier’s full legal name, rather than preferred names, nicknames, abbreviations, or acronyms. The name you enter on the supplier request form is vital. SDM uses this information to properly audit the supplier record, and using the official name helps ensure that taxable payments are correctly reported to the IRS.
If a supplier has a name other than their legal name (like a preferred name, doing business as, trading as, etc.), add these to the ‘Comments to share with SDM’ section of the request form. SDM will add these alternate names to the supplier record. This helps you locate the supplier based on another name when searching in BUY.IU.
